The Institute Special Events & Protocol Website is Live and Ready for Use

Thank you to the more than 100 colleagues who registered to attend our professional development event on February 23, where we introduced our new Institute Special Events & Protocol website.  The new site, intended to provide event planners with a centralized location to find all the necessary information they need to produce a successful event, includes information on policies, entertainment resources, catering options, and many other useful topics. The site also contains a blog that will be updated weekly, containing useful tips, strategies, discussion topics, and insights intended to spark discussion with our readers.

Since we covered a lot of information at the event and many may not have been able to attend, we’d like to share with you some highlights of the site, as well as new information added as a result of the event:

  • All event planners are encouraged to visit our Special Events Toolbox in their initial planning stage. There, we list step-by-step instructions for completing a successful event and provide a comprehensive source of resources, including an event management checklist, budget template, volunteer assignment documents, and other pre- and post-event resources. 
  • The resources call-outs on the right side of the site offer specific event-related information for each respective entity. Did you know we have a campus catering forum where you can rate your catering experience? And a Request for Special Event Security form that you complete to reserve GTPD officers at your next event? And how to reserve the Goldrush Dance Team?
  • The Institute Event Policies page is designed to list all policies pertaining to your event planning in one location. If you have a question about a certain policy or don’t see one listed, let us know. We are working to find answers or develop policies relating to road closures, EMT services, and other liability issues.
  • We’re committed to serving our constituents by providing event standards and protocol resources related to event management and international visitors. In the next few months, we will continue to develop resources and tools that you can use within your departments and for interactions with global partners.
